Job Description: SAA-uk Music Academy Assistant (Freelance)

Primary Contact: Education & Learning Coordinator / Music Development Officer 
Engagement Type:  Freelance / Self-Employed Contractor 
Location: Term time - The Sikh Centre, 192 Chapeltown Road, LS7 4HZ  
Hours: 15 hours per week during term time: Sundays (2-8pm) and Tuesdays (3.30-9.30pm), plus bootcamps or Admin Work 
Availability: Weekend and evening work 
Fee: £15 per hour  

Role Overview 
The Music Academy Assistant will provide freelance support to ensure the smooth and safe delivery of SAA-uk Music Academy activities. This includes supporting classroom setup, participant coordination, pastoral supervision, and general operational assistance during sessions. The role includes supporting the setup of classrooms for Indian Classical Music sessions, welcoming parents and participants, and managing registration processes. The Contractor will provide pastoral support by supervising students between classes and ensuring a safe and well-managed environment across the Academy. Responsibilities also include preparing refreshments for tutors and parents and providing general operational support to assist in the smooth running of the Academy. 

The Contractor will work collaboratively with the Education & Learning Coordinator to support high-quality delivery of all Academy activities. 

Key Responsibilities 

  • Classroom Setup & Logistics 
  • Prepare classrooms in an appropriate layout for the teaching of Indian Classical Music, including basic layout and setup. 
  • Conduct a Health & Safety check across teaching and communal spaces  
  • Assist tutors with basic equipment and materials as required 
  • Ensure spaces are left clean, organised, and secure after sessions 

1. Registration & Student Support 
  • Welcome students, parents, and tutors in a professional manner. 
  • Provide pastoral care and supervision for students who are waiting between classes or waiting to be collected. 
  • Help maintain safe and appropriate use of communal areas 
  • Ensure that children and young people are not left unattended or supervised by adults without appropriate clearance. 
  • Report any incidents, injuries, or safeguarding concerns promptly making sure you inform the parents and the Education and Learning Coordinator along with making a log in the Medical book 
  • Ensure that the attendance are marked in the registration sheet and any enquires should be noted down  

2. Operational Support 

  • Set up and maintain the kitchen area including refreshments where required for tutors and parents. 
  • Assist tutors with recording of session contents and share it to the Education & Learning Coordinator. 
  • Help in forming the inventory / asset management for the academy 
  • Record and relay any comments, issues, or complaints raised by participants or parents. 
  • Stay informed about Academy schedules and lesson changes and communicate updates accordingly 

3. Communication & Reporting 

  • Maintain regular and professional communication with the Education & Learning Coordinator. 
  • Support capture of marketing content (images/videos) where required  
  • Report any safeguarding, Health & Safety, or building issues promptly and accurately. 
  • Attend or complete mandatory training, including safeguarding and venue briefings. 
  • Represent the organisation positively and support its vision, values, and programme 


Contract Details 

  • Engagement: Freelance/ Self-employed‑ contractor 
  • ​​​​​​​Tax & Insurance: Responsible for own tax, National Insurance, and relevant insurances including Public Liability 
  • Employment Benefits: Not entitled to employee benefits (holiday pay, sick pay, pension, etc.) 

Person Specification 

Essential -  

  • A willingness to learn and basic knowledge of Indian Classical Music (or interest in developing this). 
  • Fluent English (spoken and written). 
  • Awareness of, or sensitivity to, South Asian and British South Asian cultural practices. 
  • Punctual, reliable, proactive and able to commit to weekend/evening work (Academic Term). 
  • Reasonable physical ability for light manual tasks (e.g., moving tables, chairs, instruments). 
  • Experience working with or around young people. 
  • Strong communication and interpersonal skills with the ability to engage respectfully with diverse groups. 
  • IT proficiency, including Microsoft Office, OneDrive, Zoom, Google Classroom, and Google Meet. 
  • Understanding of safeguarding and data protection expectations. 

Desirable - 

  • Ability to communicate in Punjabi, Hindi, Bengali or Urdu. 
  • Formal training in safeguarding, data protection, or manual handling. 
  • Experience working in an educational or community setting. 

Compliance Requirements 

  • An enhanced DBS check (or willingness to obtain one).

  • Willingness to work flexibly
