Job Description: SAA-uk Education & Projects Assistant (Freelance)

Contract Type: 20 Hours - Freelance
Location: Hybrid – must be based in Leeds or easily able to commute to Leeds
Hours: 15 hours per week during term time: Sundays (2-8pm) and Tuesdays (3.30-9.30pm), plus bootcamps or Admin Work 
Availability: Weekend and evening work 
Fee: £15 per hour  

Role Purpose:
This is a new post created to strengthen the capacity of the Education team. The Education & Projects Assistant will work across three areas: supporting our developing Arts Award offer, assisting with curriculum development aligned work, and providing essential administrative support that keeps the broader education programme running smoothly. 

The role sits at the heart of day-to-day delivery. You will work closely with the Music Development Officer and Education & Learning Co-ordinator, contributing to a team where your work has direct impact on the learners of Indian Classical Music at our Academy.  

Key Responsibilities 

1. Arts Award support 

Arts Award is a developing strand of our education offer and a key area of development for the team. You will play an important role in making it work in practice: 

  • Maintain participant tracking across all Arts Award levels, keeping records accurate and up to date 

  • Prepare and organise materials, resources, and portfolio documentation in line with Arts Award requirements 

  • Support delivery of Arts Award workshops and assessment activities alongside the Music Development Officer 

  • Handle data entry, filing, and communications with participants related to Arts Award progress 

  • Assist with the administrative side of rollout as the programme develops and grows 

2. Curriculum and programme support 

The education programme spans termly academy classes, bootcamps, enrichment performances, a summer school, a residential retreat, and special projects. You will provide support across this work: 

  • Assist the Music Development Officer with curriculum-aligned tasks 

  • Support planning, resourcing, and documentation for special projects as they arise - new strands emerge regularly 

  • Contribute to evaluation and impact documentation that helps the team understand and improve what it delivers 

  • Provide cover or additional support during intensive delivery periods such as summer school  

3. General administration and operational support 

The Education team carries a significant administrative load alongside its delivery work. You will provide proactive support that frees up the wider team to focus on programme quality: 

  • Handle ad hoc administrative tasks including correspondence, venue hire research, contract support, and data entry 

  • Assist with class and programme communications - general messages to students, families, and participants 

  • Support accurate record-keeping for attendance, enquiries, and programme data 

  • Assist with content capture and other support for marketing and communications as needed 

  • Respond flexibly to shifting priorities in a small team - no two weeks look exactly the same 


Person Specification 

Essential 

  • Strong organisational and administrative skills 

  • Ability to manage multiple tasks and priorities simultaneously without losing accuracy  

  • Clear, warm, and professional communicator - written and verbal 

  • Comfortable working in a fast-moving environment where priorities can shift and flexibility is required 

  • Understanding of South Asian arts and cultural heritage 

  • Proficiency in Microsoft Office  

  • Ability to work both independently and as part of a close-knit team 

Desirable 

  • Experience in an administrative/coordination or assistant role - ideally within arts, education, or the charity sector 

  • Familiarity with Arts Award as a participant, supporter, or administrator 

  • Experience of working with or supporting young people in an educational or creative setting 

  • An interest in music or the performing arts, and an understanding of South Asian arts 

  • Experience with data tracking, CRM systems, or similar tools 

  • Ability to drive with valid license
